# Workflows: automate what happens to new mentions (https://snitchfeed.com/docs/features/workflows)

A **workflow** decides what happens to a mention after SnitchFeed finds it. It starts with a trigger (a new mention, or a mention you enroll by hand), runs through logic steps such as filters, branches, delays and human approval, and ends in an action: enrolling the author in an [Outflo](/docs/integrations/outflo) campaign or posting the mention to a webhook.

<Callout type="info" title="Pro plan">
  Workflows are included on the **Pro** plan, with up to **10 workflows** per
  workspace. On other plans the **Workflows** page shows **Unlock workflows**
  with an upgrade button. See [Plans, billing and credit
  top-ups](/docs/workspace/plans-and-billing).
</Callout>

Workflow steps cost **0 credits**. Credits are only used by the listeners that find the mentions.

## The Workflows page [#the-workflows-page]

Open **Workflows** in the sidebar, or go to `app.snitchfeed.com/workflows`. The table lists every workflow with:

| Column                           | Shows                                                 |
| -------------------------------- | ----------------------------------------------------- |
| **Name** | Workflow name and description |
| **Status** | **Draft** (never published), **Active** or **Paused** |
| **Created** and **Last updated** | When it was created and last edited |
| **Enrolled** | Mentions that have entered the workflow |
| **Success**                      | Runs that finished                                    |
| **Awaiting approval** | Runs waiting on a **Require Human Approval** step |
| **Failed**                       | Runs that failed                                      |
| **Actions** | **Pause** or **Resume**, and delete |

Deleting a workflow stops any in-progress runs and cannot be undone. Its run history is kept for the plan's retention window.

Each workflow has three tabs: **Workflow editor**, **Enrollments** and **Approvals**.

## Build a workflow [#build-a-workflow]

<Steps>
  <Step>
    ### Create the workflow [#create-the-workflow]

    Click **New workflow**. SnitchFeed creates an **Untitled workflow** and opens the editor. Changes save automatically as you edit.
  </Step>

  <Step>
    ### Choose a trigger [#choose-a-trigger]

    Click **Add a trigger** and pick **New mention** or **Manual enrollment**. See [Triggers](#triggers).
  </Step>

  <Step>
    ### Add steps [#add-steps]

    Add logic and action steps from the palette or with the **+** button on a step. Each step's settings open in the side panel. A workflow can have up to **25 steps**.
  </Step>

  <Step>
    ### Test it [#test-it]

    Click **Test** and pick a recent mention that matches the trigger. The canvas highlights the path that mention would take. See [Test a workflow](#test-a-workflow).
  </Step>

  <Step>
    ### Publish [#publish]

    Click **Publish**. Until you publish, the workflow is a draft and runs nothing. If any step is incomplete, the editor lists what to fix first.
  </Step>
</Steps>

## Triggers [#triggers]

Every workflow has exactly one trigger.

| Trigger               | Starts a run when                                        |
| --------------------- | -------------------------------------------------------- |
| **New mention** | A new mention comes in that matches the trigger's scope |
| **Manual enrollment** | You enroll a mention by hand. It never fires on its own. |

For **New mention**, **Trigger on** sets the scope:

* **Any mention**: every new mention in the workspace.
* **Specific listeners**: only mentions from the listeners you choose.
* **Specific feeds**: only mentions that pass the filters of the feeds you choose, exactly as the feed shows them. Editing the feed's filters changes what the workflow receives.

### Enroll mentions by hand [#enroll-mentions-by-hand]

You can enroll existing mentions into any active workflow, whatever its trigger:

1. In a feed, select mentions with their checkboxes.
2. Click **Enroll in Workflows** in the selection bar.
3. Choose one or more workflows and confirm.

You can enroll up to **200 mentions** at a time. By default a mention already enrolled in a workflow is skipped. Turn on **Allow re-enrollment** in the editor header of a published workflow to let the same mention run again.

## Logic steps [#logic-steps]

| Step                       | What it does                                                                                                                                                                        |
| -------------------------- | ----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Condition** | Routes the run down the first branch whose conditions match. If none match, it exits through **Else**. Add branches with **Add branch**. |
| **Filter** | Stops the run unless its conditions match. A run that stops here shows as stopped in the run history. |
| **Delay** | Waits before the next step. **Wait for** takes minutes, hours or days, from 1 minute up to 30 days. |
| **Require Human Approval** | Pauses the run until someone approves or rejects it on the **Approvals** tab. It has an **Approved** and a **Rejected** exit. **Auto reject after** is required, from 1 to 30 days. |

### Conditions [#conditions]

Conditions and filters test fields of the mention. Choose whether **all of** or **any of** the conditions must match, then add each one with **Add condition**.

| Field | How you test it |
| --------------- | ---------------------------------------------------------------- |
| **Listeners** | Is one of the listeners you pick |
| **Platform** | Is one of the platforms you pick |
| **Sentiment** | Is one of positive, neutral or negative |
| **Intent tags** | **Include** any of, or **Exclude** all of, the tags you pick |
| **Keywords** | **Include** any of, or **Exclude** all of, the keywords you pick |
| **Fit score** | Is between two values on a 0 to 100 slider |

For what Fit Score, intent tags and sentiment mean, see [How Fit Score, intent tags and sentiment work](/docs/fit-score).

## Actions [#actions]

| Action        | What it does                                                                                                                                                                                 |
| ------------- | -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Outflo.io** | Enrolls the LinkedIn author of the mention into an Outflo campaign. Exits through **Added** or **Skipped**. Needs an Outflo connection. See [Outflo integration](/docs/integrations/outflo). |
| **Webhook** | Posts the mention to one of your webhook destinations, using the standard mention payload. See [Webhooks](/docs/integrations/webhooks). |

The step menu also lists **Zapier**, **Make**, **n8n**, **Clay**, **OpenClaw** and **Hermes Agent**. Picking one adds a **Webhook** step labelled with that app: create a webhook in that tool, add its URL as a webhook destination in SnitchFeed, then pick it in the step.

## Approvals [#approvals]

The **Approvals** tab lists runs waiting on a **Require Human Approval** step, with a badge showing how many are pending. Each row shows the mention's Fit Score, AI summary, contact, intent tags, the next step and when the approval expires.

Select one or more rows and click **Approve** or **Reject**. An approval that reaches its **Auto reject after** time is rejected automatically and the run continues down the **Rejected** exit.

## Test a workflow [#test-a-workflow]

**Test** opens **Test this workflow** with recent mentions that match the trigger. Pick one to see the path it would take on the canvas.

A test is a simulation. Approvals approve automatically, and webhook, Outflo and delay steps are simulated: nothing is sent, nothing waits, and nothing is enrolled or saved. **Test** is unavailable until every step is fully set up.

## Publish, pause and edit [#publish-pause-and-edit]

* **Publish** makes the workflow live. Publishing again replaces the live version with your current draft. Runs already in progress finish on the version they started on.
* The **Active** / **Paused** switch in the editor header turns a published workflow on and off.
* SnitchFeed pauses a workflow automatically, and emails you, after **3 failed runs in a row** caused by a setup problem, such as an Outflo connection that needs reconnecting. Temporary errors, such as a rate limit or server error from the receiving service, do not count toward this.
* Deleting a listener, feed, webhook destination or Outflo connection that an active workflow uses pauses that workflow.

## Run history [#run-history]

The **Enrollments** tab lists every run with the mention's Fit Score, summary, contact, tags, status and creation time. Statuses include **Awaiting approval** and **In delay** (hover to see when it resumes), as well as queued, running, succeeded, failed and stopped. Click a run to open **Run details** and see each step it took. Select runs and click **Unenroll** to stop runs that have not finished.

Finished runs are kept for **180 days** on Pro.

## Limits [#limits]

| Limit                          | Value               |
| ------------------------------ | ------------------- |
| Workflows per workspace        | 10 on Pro           |
| Steps per workflow             | 25                  |
| Mentions per manual enrollment | 200                 |
| Delay                          | 1 minute to 30 days |
| Approval timeout               | 1 to 30 days        |
| Credits per step               | 0                   |

Workspace owners and collaborators can both create and edit workflows. See [Workspace roles and permissions](/docs/workspace/roles-and-permissions).
